Online Onboarding Templates Save HR & New Hires a Ton of Time

April 1, 2015 by Andrew Roberts

Online onboarding can really improve a hiring process. Take a look at how online onboarding templates can save you a ton of time.

DynaFile has championed HR's paperless transition for 15 years. Explore our cutting-edge solutions and enjoy instant, secure file access. Request your free demo today!

One of the greatest ways to inspire a new employee is by giving them an incredible onboarding experience. The reason for any electronic onboarding program is to welcome them to your place of business, get them “papered up” and assist them in becoming acclimated to their job as effortlessly as possible.

Employees who have received a smooth onboarding process will feel more confident about joining the team on their first day. They feel more connected to their colleagues and to the company itself. By employing an online onboarding solution, companies can pre-board their new hires, receiving all of their completed and signed documentation ahead of time. This allows new hires to hit the ground running with their team on the a first day at work instead of stressing over a stack of paperwork.

Online Onboarding Saves Time

There is nothing worse than starting a new position with all of the excitement in the world and then arriving on your first day to – an enormous stack of onboarding paperwork. It is the reality at many workplaces, but it doesn’t have to be. Online onboarding can save your HR staff and new hires a ton of time. Instead of filling out all of their paperwork on day 1, your new employees can complete and legally sign everything online before their first day. Here are some time-savers of onboarding online:

  • Onboarding templates let you create a template for your entire onboarding packet. When it is time to onboard a new hire, simply select the appropriate onboarding packet, enter their name and email address and you’re done!
  • Online onboarding templates allow for auto-completion. Start your onboarding packet with an Employee Data Sheet to capture all of the annoying-to-enter information like the new hire’s address, SSN, etc. You can set up your templates so that this information is only required once and will be auto-completed on all subsequent forms in the packet – cutting down on typos significantly.
  • Onboarding templates allow you to lock down required information. New hires will not be able to complete their onboarding packet until all required information is filled out. Now HR will never again have to worry about tracking down staff with incomplete onboarding information.
  • Online onboarding templates let you include a space for a signer attachment or required link. By adding a “signer attachment” to onboarding documents like your Direct Deposit Form, new hires can upload a copy of their voided check or photo ID as they go through their onboarding packet. A “required link” can also be added to documents like your Handbook Acknowledgement. The new hire will be required to click on the link and view the digital version of your employee handbook before signing off.
  • Online onboarding packets can be routed automatically. Routing and workflow for online onboarding packets can be dialed in as part of the template. So, when you onboard a new employee, you can automatically have the packet sent to the new hire, then to Payroll, back to HR and then filed away.

If you are looking for an online employee onboarding solution, contact us today at DynaFile. We have been helping HR go paperless for 15 years. Our scan-to-cloud software provides a quick and easy way to convert your existing paper files to electronic format while our paperless onboarding solution lets your office stop generating paper from day one. Paperless Onboarding Gives Time Back to HR

March 3, 2015 by Andrew Roberts

HR generates and manages a ton of paperwork. A paperless employee onboarding process significantly reduces paper and increases efficiency across the entire department.

Transform your HR operations with a paperless onboarding system. Boost efficiency, streamline processes, and enjoy hassle-free document retrieval. DynaFile offers a seamless digital experience for HR. Let new hires commence with ease and HR reclaim time. Discover the future of HR - request a free DynaFile demo today!

Traditionally, HR has been a department that generates and stores an enormous amount of paper.  Between hiring, firing, training, and managing employees – and retaining documentation on all of the above – HR has had an ever-increasing amount of paper work to deal with. But advances in technology have enabled easier and more reliable ways to capture and retain the needed documentation. One of the areas that can most benefit from a paperless system is your onboarding process.

Having a formal employee onboarding procedure serves several purposes, not the least of which is ensuring that all incoming employees receive specific information on certain federal, state, and company regulations and policies. For example, FMLA-covered employers are required to train new hires on their rights and responsibilities under the FMLA. But along with providing the information, it is equally important that employers be able to prove that such training was provided, especially in the event of a lawsuit filed by a disgruntled former or current employee.

Fortunately, implementing a paperless onboarding system can improve both the efficiency and reliability of your onboarding process. Rather than tying up one or more of your HR staff printing and/or gathering all needed forms, and then spending hours reviewing them with the new hire, you can instead send the documents to the new hire to complete prior to the first day of work, so the employee is ready to hit the ground running. The system can make sure all needed forms are completed so your staff won’t have to spend valuable time later tracking down the new hire to obtain a missed signature. And electronic onboarding eliminates the need for tedious filing – the system will automatically place the documents in the employee’s personnel file once they have been completed.

But an even bigger advantage of an electronic onboarding system is the ease with which documents can be retrieved when needed. Instead of having to sift through file cabinets full of personnel files, hoping the one you are looking for hasn’t been misfiled or lost, you can simply type in the employee’s name and view all the information you need. You will be especially appreciative of this convenience should you ever need to collect employment documentation for an unemployment hearing, EEO audit, or legal proceeding!

For more information about how converting to a paperless onboarding system can benefit your HR department, contact us today. DynaFile is a paperless employee onboarding solution that helps Human Resources operate more efficiently. New hires can review, fill out and legally sign all onboarding documentation completely digitally before their first day in the office. They can even attach supporting documentation like a voided check for direct deposit or a photo ID. Contact us today for a free demo!

Streamline New Hire Paperwork in 2015 with Electronic Onboarding

January 20, 2015 by Andrew Roberts

Onboarding paperwork can be frustrating for new hires and HR alike. Streamline it this year with electronic employee onboarding.

Onboarding a new employee creates a lot of paperwork. Before new hires can officially join the team, there is a stack of onboarding documents that they must review, fill out and sign. For many companies, this means a good portion of your new employee’s first day is spent tackling these forms with a trusty pen in hand. Completing onboarding packets the old fashioned way can cause problems, though.

With so much documentation to review, it can be very easy to skip over an important section or forget to add a critical signature. New hires are also faced with the urge to plow through onboarding paperwork as fast as possible so they can move on to tasks more closely related their new job. When all is said and done, HR is left with a hastily filled out onboarding packet in form of a giant stack of paper. Reviewing an onboarding packet in this format can be pretty tedious. This year, why not ditch the pen and paper? Here’s how to streamline new hire paperwork in 2015 with electronic employee onboarding.

No More Incomplete Information On Onboarding Forms

With paper onboarding forms, it is incredibly easy to skip over an important section or forget to add a required signature. Many times to make these required sections pop out more to new hires, HR will manually highlight important sections or add “X”s everywhere a signature is required. This is a huge waste of time!

With electronic onboarding forms, you can create templates for your onboarding packets. Simply use your existing onboarding forms as a base for your template and use an easy drag-and-drop interface to overlay them with digital form fields. You have the option to make any field in your templates required. So, when you’re new hire is going through their onboarding packet, they won’t be able to complete and sign off on it until all required fields are filled out. Best of all, once created, onboarding templates can be used over and over again for all of your new hires.

Onboarding Paperwork Can Be Completed Before Your New Hire’s First Day

With a pen and paper onboarding process, your new hires probably feel a bit of pressure. They don’t want to waste time filling out tax forms and reviewing the employee handbook on their first day. They want to hit the ground running, meet their team and start doing the job they were hired to do. Electronic onboarding allows them to do just this.

Online forms and electronic signatures can replace pen and paper forms. Now, your new hires can review, fill out and sign all of their onboarding documentation remotely, before their first day on the job. HR simply selects the appropriate onboarding packet and enters the new hire’s name and email address. Your new employee will receive an email with instructions and a secure link to their onboarding documentation which they can now review and complete at their leisure, pressure-free.

Say Goodbye To Paper Filing

Paper onboarding packets can get messy quick. Certain sections need to be copied to go out to different departments and certain sections need to be treated with a high level of security. In this situation it is very easy to skip a step, lose a piece of paper or misfile something. One of the nice things about electronic onboarding is that much of this is automated for you. Once the new hire has completed their onboarding packet, it gets automatically routed to the next person in the workflow (Payroll, Manager, HR, etc). Once all individuals in the workflow have completed their sections of the packet, a new employee folder is created and all completed onboarding documentation is filed inside automatically.

How to Choose the Best Document Management Software in 2015

January 15, 2015 by Andrew Roberts

The best document management software for your business depends on a variety of factors. Here’s how to choose the best document management software in 2015.

Are you looking for the best document management software? Shopping around can be challenging with so many options on the market. The truth is, the best document management software for your company may not be the best solution for another business. There are a variety of factors to think about when browsing different document management solutions.

Here are a few things to consider when evaluating different vendors and trying to find the best document management software in 2015.

Cloud Document Management vs. In-House Solutions

Cloud document management software – or a “hosted” solution – is one in which your system is located on a server that is outside of your offices. There are a variety of benefits that go along with cloud solutions. If the area of business you are shopping for would benefit from any of the following features, you may consider going with cloud document management software. Some benefits of hosted solutions:

  • Do not require a dedicated IT team to maintain
  • Instant access to your documents from anywhere, at any time
  • Quick, easy collaboration between team members in different offices
  • Simple to share documents with both staff and external parties

Paper Scanning vs. Completely Digital

Another thing to consider when looking for the best document management software for your business is whether or not you will need to do a lot of scanning. If you are coming from a paper filing system and plan to get your existing files into electronic format, you will need a practical way to digitize all of those documents and get them into your new system. Look for document management software that includes scanning automation or scan-to-cloud tools. These will help you automate the conversion of paper files to digital.

Keep in mind, also, that you can only go as paperless as your staff, partners and clients. If you foresee that you will still be receiving a decent amount of paper on an ongoing basis, make sure the document management solution you choose includes an easy way to deal with those miscellaneous paper files coming in as well. Batch processing is a feature to keep an eye out for.

Paperless Processes vs. Old School

Once you have gotten your new document management software up and running, you may want to take some of your pen and paper processes digital as well. For example, many departments produce the majority of their paper when dealing with forms and other documentation that needs to be filled out and signed. Online forms and esignatures can replace traditional pen-and-paper processes. If you want to go truly paperless, be sure to look into document management software that includes these features.

This Year HR is Thankful to Finally Go Paperless

November 25, 2014 by Andrew Roberts

With the holiday season quickly approaching, many take the time to stop and reflect on what they are most thankful for. If your Human Resources department has made it an initiative to go paperless this year, you can bet your staff are feeling grateful. Although they are somewhat of an office tradition, paper filing systems are tough to manage. It’s too easy for documents to get misfiled, lost or even accidentally destroyed – making finding a document a little like finding a needle in a haystack. Moving to a paperless filing system helps keep employee files organized, up to date and accessible. Here are some of the ways your Human Resources department can benefit from employee file management software.

Carve Out Unnecessary Costs

Going paperless with employee file management software can save your organization a lot of valuable time and money. Productivity gets a huge boost when pen and paper processes are replaced with completely digital ones. Many administrative tasks that used to be incredibly time-consuming can now be completed in a fraction of the time – or even automated. This doesn’t even take into account how much HR can save on paper-related costs like printer / copier ink, maintenance, reams of paper, overnight postage, etc. You may be surprised by how much your Human Resources department can save by going paperless.

Make Access As Easy As (Pumpkin) Pie

Cloud solutions are a great choice when it comes to employee file management software. With a cloud system, your employee files remain secure, yet easily accessible to authorized personnel from anywhere, at any time. If your organization has multiple offices spread throughout the country, a cloud solution becomes even more valuable for this reason.

Good employee file management software will also include comprehensive access control features to keep employee information secure. These will allow admins to control access to specific types of documents (like PHI). You can also use access controls to give external users or other departments access to specific sections of employee files. For example, you can give Payroll access to just the specific types of documents they need. When they log in, they’ll only be able to view the types of information that was made available to them.

Audits Are All Gravy

The holiday season is also often times audit season. When an audit hits and all of your employee files are stored on paper, staff begin running around like headless turkeys trying to make sure everyone’s folders are up to date. Employee file management software can significantly reduce this stress. Reports can be created in an electronic system to match your existing business rules around employee information management.

For example, let’s say your policy is that all employees are required to have documents A, B and C in their folder at all times. And, document C is a certification that needs to be renewed annually. Your employee file management software can track this information automatically for you. So, once a week (or however often you choose), you can get a report emailed to you to let you know which employees are missing which documents; and which employees have a certification coming up for renewal. This way, HR never has to worry about about being unprepared for an audit. Internal audits are already run automatically for you ensuring all employee documentation is complete and up to date.

An Onboarding Process With All The Trimmings

Employee onboarding can be a huge paper generator for HR. Every new hire that joins the company has to fill out a stack of paperwork that is as time-consuming to complete as it is to print out and assemble. Luckily, some employee file management software include an onboarding module to get new hires into the system quickly and easily.

Paper onboarding forms are replaced with online forms that can be filled out before the employee’s first day on the job. HR can include a space for new hire attachments (like photo ID or voided check for direct deposit) or a required link (to your employee handbook, for example). To save HR from chasing staff down for incomplete information, admins can set requirements and validations for specific fields within onboarding forms. Electronic signatures are used to capture a legally binding agreement from the signatory. Best of all, completed onboarding packets can be automatically sent to your employee file management software. There, a new employee’s folder is automatically created with all of their completed onboarding documentation filed inside.

Paperless Employee Onboarding Eases Growing Pains for Businesses

November 4, 2014 by Andrew Roberts

Transform your HR processes with paperless employee onboarding. DynaFile offers quick conversion of existing files and a seamless onboarding experience. Empower HR with instant retrieval, secure sharing, and integrated e-signatures. Eliminate paperwork hassles and enhance efficiency. Explore DynaFile today!

Growth is a great thing for a company. A healthy, growing organization means more business; and more business means more revenue. When a company grows very quickly, however, they can run into certain snags. For one thing, the Human Resources department gets hit hard. A lot of effort goes into hiring a new employee and much of it is in the form of paperwork. Onboarding a new employee can generate tons of it. That’s why paperless employee onboarding has become extremely popular lately. Now HR departments can get new employees “papered up” without a single sheet. Here’s how it works.

Paperless employee files are the ticket.

Going paperless in your HR department is a great way to give time back to your staff. Paperless employee files allow for instant retrieval, secure sharing and easy audit protection. A scan-to-cloud system is your best bet here. Scan-to-cloud filing solutions combine a cloud filing system with scanning automation tools. This means you can convert your existing paper files fast and then manage them more efficiently from the cloud. Going forward, you won’t have to print out paperwork just to scan it back into the system. Simply save the digital versions of the documents directly into an employee’s folder.

This is especially helpful for large organizations with offices springing up across the country. Getting information and documentation back and forth between offices can be a struggle. However, with paperless employee files, you can allow staff at your satellite offices to access the information they need. You can even designate specific types of documents to give them access to. For example, you may want to give managers access to performance reviews, but obviously not an employee’s protected health information (PHI).

Add in online forms and esignatures for paperless onboarding.

Now that you’ve taken your existing employee files paperless, it’s time to stop creating that paper in the first place. By integrating online forms and electronic signatures, you can take your employee onboarding process completely paperless as well. Online forms allow new hires to complete their onboarding packets from home, before their first day on the job. Electronic signatures capture a legal and binding signature from new employees on every document that they complete in the packet. No more dealing with over-nighting, snail mail or faxes for employees being brought on at different locations. All paperwork can be completed remotely at their leisure.

HR can even include an area for the recipient to attach a copy of their photo ID or a voided check for direct deposit. For agreements where supporting documentation needs to be reviewed, like a Policy & Procedures acknowledgement, the new hire can be required to review the employee handbook before signing. Any field on your paperless onboarding forms can be set to “required” so the days of chasing down new hires about incomplete information is a thing of the past.

Take a look at the process step by step.

There are different ways that companies offer paperless onboarding solutions. At DynaFile, it happens through an integration we have with DocuSign, the global leader in digital transaction management and electronic signatures. Here’s how it works:

  1. HR selects appropriate employee onboarding packet
  2. HR enters new hire’s name and email address and clicks “send”
  3. New hire receives email with secure link to onboarding packet
  4. New hire reviews, fills out and signs all onboarding documentation online
  5. Onboarding packet gets routed to next person in workflow (maybe HR or Payroll)
  6. Once workflow is complete, onboarding packet is delivered back to DynaFile
  7. HR is notified to quality check onboarding documentation, clicks “approve”
  8. New employee folder is automatically created in DynaFile and all onboarding documentation is filed within

It’s as simple as that! Once your onboarding packets are set up in DocuSign, it takes about 30 seconds to send one out to a new hire. Simply enter their name and email address and you’re good to go. Just think of how much time that can save a high growth business! Plus, with all of the validation and requirement options built into DocuSign, your onboarding templates can be created to fit your exact business needs. This eliminates common frustrations like incomplete forms, SSN’s with the wrong number of digits, unsigned documents, etc.

Take your Human Resources department paperless.
